Microsoft ToDo; It is a cloud-based task management application. It allows users to manage their tasks from a smartphone, tablet and computer.

Microsoft To Do has an easy to use and simple interface. Brief definition; is a to-do list. In business life and daily life; It can be easily used in many areas such as taking notes, planning the daily work. On the interface; customizations can be made and you can keep to-do lists in certain lists. You can set reminders for these tasks, write notes, and mark them as completed when they are finished. Thanks to its many features, it will enable users to easily follow their work and planning. In addition, at this point, it will increase their productivity in their work.

The “Microsoft To Do” app can be used with a “Microsoft account or work or school account”.

You can download “Microsoft To Do” application from “Microsoft Store, Google Play Store and App Store”. You can also use it with your web browser if you wish.

After installing and opening the “Microsoft To Do” application, the login screen will appear.

After clicking the "Log in" button, you will come to the screen to select the account type to log in. On this screen; As I mentioned before; The “Microsoft To Do” app can be used with a “Microsoft account or work or school account”. For this reason, you can press the "Continue" button after making sure that you have selected the correct account to log in.

After choosing your account type, log in with your account and password.

After you log in, you will see the lists that are already on the application. The content of these lists; It is like “My Day, Important, Scheduled, Assigned to Me and Tasks” and is defined as “Smart lists”.

The general usage of the application is as follows; On the left are the lists. You can create a new list with the “+ New List” option. Within these lists, you can create tasks with the "+ Add task" option.

To make personalizations on your list; After you open your list, you can click on the options icon that appears as three dots on the right side of the list name and adjust the settings in it according to your desire.

When you click on the tasks you have created; You can apply a reminder within the task, add a deadline to the task, repeat it at regular intervals, contain a file with a maximum size of "25mb", write a note on the task and indicate that you are important by clicking the asterisk.

Use of Smart Lists;

  • If you add any task to the "My Day" list, your task will be opened in the "Tasks" list and the "Add to my day view" option will be automatically selected, the task will continue to appear in the "Tasks" list when completed or the next day, and will no longer appear in the "My Day" list.
  • If you add any task to the "Important" list, your task will be opened in the "Tasks" list, and the "Asterisk" sign on the task will be automatically selected. When the task is completed, it will continue to appear in the tasks list and will no longer appear in the "Important" list.
  • If you add any task to the “Planned” list, it will add the date you created the task as the due date by default. You can make changes to the deadline after you create the task. Also, if you set a due date for a task in any list, the list is automatically added to the "Planned" list, allowing you to view it from there.
  • You can see the tasks assigned to you by someone else in the “Assigned to Me” list.
  • You can open a task on the “Tasks” list. It also includes the tasks opened on "Smart lists". Tasks opened in an external list do not appear in this list.

Apart from “Smart Lists”, you can also create variable lists, apply customizations on these lists, and manage your tasks independently from each other by opening them on lists you have created personally.

If you want to delete your list or tasks, you can right-click on the list or task and delete it with the delete option. In addition, you can share your personal lists if you wish, what you can do for this is as follows; When you right-click on your list or open your list, you will see a “Share List” sign to the right of the list name.

If you click on the sign, you can use the "Create invitation link" option on the "Sharing list" window that will appear, and you can copy the link you created or forward it directly to your contacts in your Microsoft account or to the applications listed under the forward window, and share the list.

If you click on the "More options" button on the "Sharing list" window, the "Limit access to existing members" switch will appear in the window that opens.

You will also see the "Stop Sharing" option on the "More options" window. If you click this button, the sharing of your list will be stopped and the list will be automatically deleted from the shared contacts and the "Invite Link" will become unusable. If you wish, you can re-share your list and create a new "Invitation Link". .

When you click on your profile, "Manage Accounts, Settings" options will appear, when you open the "Manage Accounts" window, you will see the accounts you have logged into the "Microsoft To-Do" application. When you click on the profile to switch between the sessions you have opened, you can change the profile by selecting any of the profiles listed below.

When you open the "Settings" window

  • You will see “Import from Wunderlist, General, Theme, Smart lists, Links, Help and feedback, About” options. If you want to import your lists and tasks on “Wunderlist” into “Microsoft To Do”, you can start the transfer process by logging into your “Wunderlist” account after clicking the “Import” button.
  • In the “General” section, there are “Confirm before deletion and Enable completion sound” options, and you can adjust these settings according to your desire.
  • In addition to the light and dark theme in the "Theme" section, you can also use it by synchronizing it with the theme you have set on Windows.
  • In the "Smart lists" section, you can disable the smart lists that you do not want to use, or activate the "Auto-hide empty smart lists" option so that they do not appear among the lists when they are empty.
  • When you activate the "Flaged Emails" option in the "Links" section, it will show the tasks created from the messages you have flagged.
  • In the "Help and feedback" section, there are options where you can get support for the application, make suggestions, evaluate the application, and copy the session ID.
  • In the “About” section, there are options where you can see the privacy statement, export your content, view the license terms, see third-party notices, and “Send usage data to Microsoft to improve the service”. The general usage and content of the application is as follows.

Additional note: On “Microsoft To Do”, “Microsoft account” and “Work or school account” cannot share lists with each other and cannot be included in the same list.

E.g; You cannot share a drop-down list in an organizational account to a personal Microsoft account. When the invite link is clicked on the personal account, "The list is unavailable, unfortunately, you cannot join this list. Lists can only be shared within an organization or between personal Microsoft accounts.” You will get the warning.
